This statement explains our policy regarding the information we collect when you visit one of our Websites or use our digital or in-person services. It also explains the specific ways we use and disclose that information.

This privacy policy applies to you, the User of any of our Websites and online or in-person services (including our digital chat coaching service hosted on the Coach.me platform), and Project Sophia Ltd, the owner and provider of these Websites. Project Sophia Ltd takes the privacy of your information very seriously. This privacy policy applies to our use of any and all data collected by us or provided by you in relation to your use of these Websites.

Definitions and interpretation

In-person clienta client with whom PSL has a close personal relationship, and works with on a one-to-one basis rather than within a group, holding meetings in person or via any form of digital communication, including WhatsApp, email and Zoom.

Scope of this privacy policy

  1. This privacy policy applies only to the actions of Project Sophia Ltd and Users with respect to our Websites and digital and in-person products. With the exception of the Coach.me website defined above, it does not extend to any websites that can be accessed from this Website including, but not limited to, any links we may provide to social media websites.

Data collected

  1. Except as set out in paragraph 5 below, we will collect from you only the minimum personal data necessary to provide the product, service or communication requested by you, which may include some or all of the following: 
  1. Name
  2. Date of Birth;
  3. Gender;
  4. Job Title;
  5. Profession;
  6. Contact Information such as email addresses and telephone numbers;
  7. Demographic information such as postcode, preferences and interests;
  8. Financial information such as credit/debit card numbers;
  9. IP address (automatically collected);
  10. in each case, in accordance with this privacy policy.

In certain circumstances, you may wish to provide more information in order to participate fully in the community or to participate in our coaching services without hindrance.  This data may include special category data such as information about your race, ethnicity, health, sexuality, politics and religion.
  2. Community members will be required to provide consent to this by confirming they have read and agreed to our specific community terms and conditions and coaching clients will be asked to provide consent to us processing special category data through our signed coaching contract.
  3. We will collect your data in any or all of the following ways:
  1. Through your completion of forms on our Websites
  2. Through your completion of hard copy questionnaires
  3. Through the completion of questions in our Planning Projector app
  4. Through interviews

Our use of Data

  1. For purposes of the Data Protection Act 1998, Project Sophia Ltd is the ‘data controller’.
  2. We will retain any Data you submit for as long as necessary to provide the product, service or communication requested by you. However, if you remain inactive for a period of 12 months or more we will seek your permission to delete your personal data.
  3. Unless we are obliged or permitted by law to do so, and subject to any third party disclosures specifically set out in this policy, your Data will not be disclosed to third parties. This does not include our affiliates and/or other companies within our group.
  4. All personal Data is stored securely in accordance with the principles of the Data Protection Act 1998. For more details on security see the clause below (Security).
  5. Any or all of the above Data may be required by us from time to time in order to provide you with the best possible service and experience when using our Website. Specifically, Data may be used by us for the following reasons: 
  1. internal record keeping;
  2. transmission by email of promotional materials that may be of interest to you;
  3. The provision of coaching, planning and consultancy services (including the operation of our lifetime cash flow planning app);
  4. in each case, in accordance with this privacy policy.

Our processing of your data

  1. We will process your data under any or all of the following legal bases:
  1. Consent. This will be the lawful basis for processing the large majority of our data, such as mailing list data (through opt-ins) and data relating to the sale and delivery of our services.
  2. Contract. This will be the lawful basis for processing data relating to our personal coaching services
  3. Special category data. There will be occasions when we will need to discuss ‘special category data’, such as race, politics, religion, health, sex life and sexual orientation with you in order to work with you without hindrance in developing and executing plans for your life and money, and therefore this will be a lawful basis for processing special category data. This may apply to the Living Money online community also. 
  1. Our condition for processing special category data is that you give explicit consent to the processing of your personal data for the specific purpose of providing life coaching and financial planning services.
  2. For our in-person clients, consent will come in the form of a signed contract (to be revised and updated)
  3. For our Community clients, this will be included in the Community T&Cs. This condition, therefore, requires that we include on the member’s website a facility for clients to tick to confirm they have read and accepted our T&Cs.

Third-party websites and services

  1. Project Sophia Ltd may, from time to time, employ the services of other parties for dealing with certain processes necessary for the operation of our Websites. The providers of such services have access to certain personal Data provided by Users of our Websites.
  2. Any Data used by such parties is used only to the extent required by them to perform the services that we request. Any use for other purposes is strictly prohibited. Furthermore, any Data that is processed by third parties will be processed within the terms of this privacy policy and in accordance with the Data Protection Act 1998.

Links to other websites

  1. Our Websites may, from time to time, provide links to other websites. We have no control over such websites and are not responsible for the content of these websites. This privacy policy does not extend to your use of such websites. You are advised to read the privacy policy or statement of other websites prior to using them.

Changes of business ownership and control

  1. Project Sophia Ltd may, from time to time, expand or reduce our business and this may involve the sale and/or the transfer of control of all or part of Project Sophia Ltd. Data provided by Users will, where it is relevant to any part of our business so transferred, be transferred along with that part and the new owner or newly controlling party will, under the terms of this privacy policy, be permitted to use the Data for the purposes for which it was originally supplied to us.
  2. We may also disclose Data to a prospective purchaser of our business or any part of it.
  3. In the above instances, we will take steps with the aim of ensuring your privacy is protected.

  1. For purposes of the Data Protection Act 1998, Project Sophia Ltd is the ‘data controller’. The data controller’s representative at Project Sophia Ltd is Jeremy Deedes.
  2. You may not transfer any of your rights under this privacy policy to any other person. We may transfer our rights under this privacy policy where we reasonably believe your rights will not be affected.
  3. If any court or competent authority finds that any provision of this privacy policy (or part of any provision) is invalid, illegal or unenforceable, that provision or part-provision will, to the extent required, be deemed to be deleted, and the validity and enforceability of the other provisions of this privacy policy will not be affected.
  4. Unless otherwise agreed, no delay, act or omission by a party in exercising any right or remedy will be deemed a waiver of that, or any other, right or remedy.
